1. Who we are
PolishedBook (polishedbook.com) is provided by [Legal business name] ("we", "us"). When you use PolishedBook, you are contracting with [Legal business name]. Contact us at support@polishedbook.com.
2. Accepting these terms
By creating an account or continuing to use PolishedBook, you agree to these terms. If you use it for a business, you confirm you have authority to bind that business; if you use it as an individual, you confirm you are of legal age.
3. The service
PolishedBook is online bookkeeping software for small businesses. It lets you connect bank accounts, import statements, record and categorize transactions, store and match receipts, track mileage, manage payroll records and view reports. Some features use automated tools, including AI, to read documents and suggest categories. These suggestions can be wrong — you are responsible for reviewing your records. PolishedBook is not tax, legal or accounting advice.
4. Your account
Give accurate information and keep it up to date. Keep your login details confidential; you are responsible for activity under your account and the team members you invite.
5. Acceptable use
You must not misuse PolishedBook, including by: using it for anything unlawful; fraud, spam or misleading activity; infringing anyone's intellectual property; uploading malware; probing, scanning or testing the security of the service; scraping or harvesting data; interfering with its operation; reverse engineering it; or reselling or redistributing it.
6. Licence and ownership
We grant you a limited, non-exclusive, non-transferable right to use PolishedBook within your plan. We and our licensors own the service and all related intellectual property, including the software, documentation and branding. You keep ownership of your data; you give us a limited licence to host and process it only to provide the service.
7. Payments and subscriptions
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
Payment, billing, tax, renewal, cancellation and refund terms are set out in Paddle's Buyer Terms at paddle.com/legal/checkout-buyer-terms. Plans are billed per company, monthly or yearly, based on the number of users, and renew automatically until cancelled. See our Refund Policy.
8. Service level
We work to keep PolishedBook available and accurate, but we do not guarantee it will be uninterrupted, error-free or that bank connections will always be available. The service is provided "as is" and, to the fullest extent permitted by law, we disclaim all implied warranties, including merchantability and fitness for a particular purpose.
9. Suspension and termination
We may suspend or end your access if you materially breach these terms, do not pay, create a security or fraud risk, or repeatedly or seriously violate our policies. You may stop using the service at any time. After your access ends, you can ask us to export your data within 30 days; after that we may delete it.
10. Liability
To the extent permitted by law, we are not liable for indirect, consequential or special damages, including lost profits, data or goodwill, and our total liability is limited to the fees you paid in the 12 months before the claim. Nothing limits liability for fraud, death or personal injury where the law does not allow it. You will indemnify us against claims arising from your data, unlawful use or breach of these terms.
11. General
We are not responsible for delays caused by events beyond our reasonable control. You may not transfer your account without our consent; we may transfer these terms as part of a merger or sale. We may update these terms and will post the new version here. These terms are governed by the laws of the State of New York, USA, and disputes will be handled by its courts.
